Surf Odysseys Pvt Ltd ("Surf Odysseys", "we", "us") runs surf coaching packages, surf camps and ISA courses in Sri Lanka. We are responsible for the personal information collected through this website and our booking enquiries.

This policy explains what we collect, why, who we share it with and your rights. It applies to this website, enquiries, bookings and the time you spend with us.

Information we collect
When you send an enquiry or book:
- Name
- Email address
- Phone number
- Preferred travel dates
- Surf level
- Your package, accommodation and course choices
- Anything else you choose to tell us in your message
When you pay: the payer's name, payment reference and amount from your bank transfer.
We never see or store card details.
During your stay: photos and video of you surfing, taken for coaching, video analysis and promotion (see Photos and video below).
When you browse the site: basic technical data such as IP address, browser type and pages visited, collected through cookies set by our website platform, Wix.
Please don't send us sensitive information such as medical details unless it's needed to keep you safe in the water. If you do, we'll use it only for that purpose.
How we use your information
- Replying to your enquiry and sending a quote (steps you ask us to take before a contract)
- Arranging your booking, accommodation and coaching (performing our contract with you)
- Registering you for ISA courses and accreditation (performing our contract with you)
- Matching coaching to your surf level and keeping you safe (contract and our legitimate interests)
- Taking and checking payments, and keeping accounts (legal obligation)
- Posting photos and video of guests (your consent)
- Running and improving the website (legitimate interests)
We don't sell your personal information, and we don't use it for automated decision-making.
Who we share it with
We share only what each party needs to do their part:
- Partner accommodation providers: your name, contact details, dates and number of guests, so they can reserve and prepare your room.
- International Surfing Association (ISA): your name, contact details and course results, to register your course, issue your accreditation and set up your ISA membership and portal access. The ISA handles this data under its own privacy policy.
- Wix: our website and form provider, which stores enquiry form data on our behalf.
- Our bank and accountants: payment records, for processing and legal accounting.
- Authorities: where the law requires it, or to protect someone's safety.
Our partners may only use your information for the service they provide to you.
Photos and videos
Filming is part of our coaching, and the footage is used in your video analysis sessions. We'd also love to share some of it on our website and social media.
- We'll ask for your consent before your stay, and you can say no without it affecting your coaching.
- You can withdraw consent at any time by emailing info@surfodysseys.com. We'll stop using the footage in new posts and remove existing posts where we reasonably can.
- For guests under 18, we'll ask a parent or guardian for consent.
- Coaching footage not used for promotion is deleted within 12 months of your stay.
Cookies
Our site runs on Wix, which sets essential cookies so the site works and stays secure. Wix may also set cookies for performance and analytics. Where consent is needed, you'll see a cookie banner and can manage your choices there or in your browser settings.
International transfers
Some of the parties we share data with, including Wix and the ISA, are based outside Sri Lanka. When your data is transferred abroad, we make sure appropriate safeguards are in place, such as the providers' standard contractual protections.
- Enquiries that don't become bookings: deleted after 12 months.
- Booking and payment records: kept for 7 years for tax and accounting.
- ISA course records: kept for as long as needed to support your accreditation.
- Promotional photos and video: kept until you withdraw consent.
How long we keep it
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that's wrong
- delete your information, where we don't need to keep it by law
- stop or limit how we use it, or object to a use
- withdraw consent you've given, such as for photos
- send your information to you or another provider in a usable format
Email info@surfodysseys.com and we'll reply within one month.
You can also complain to the Data Protection Authority of Sri Lanka, or, if you live in the UK or EU, your local data protection regulator, such as the UK's ICO.
Under 18s
We take bookings from under 18s only with a parent or guardian's consent.
ISA course candidates must be at least 16.
Changes to this policy
We may update this policy from time to time.
The latest version will always be on this page, with the date it was last updated.
